Prompt
Do I need enterprise search for SharePoint and Teams?
Latest observation
Not always.
Short answer
If you’re using SharePoint and Teams with Microsoft 365 search, that usually covers a lot of what people need. You typically need enterprise search only when you want search across many different systems, better governance/permissions controls, custom ranking, advanced compliance, or specialized search experiences.
When Microsoft 365 search is enough
Microsoft’s built-in search is often sufficient if you mainly need to search:
- SharePoint sites and document libraries
- Teams messages and files
- OneDrive
- Outlook/Exchange content
This works well for:
- Standard internal document discovery
- Searching files by name or content
- Finding Teams conversations or shared files
- Basic organizational knowledge lookup
When enterprise search makes sense
Consider enterprise search if you need:
-
Cross-system search
Search across SharePoint, Teams, file shares, CRM, ERP, intranet, external repositories, and line-of-business apps. -
Better relevance and metadata control
Use custom ranking, synonyms, filters, or taxonomy-driven search. -
Strong compliance and security requirements
More control over indexing, permissions trimming, auditing, and retention. -
Knowledge discovery at scale
Help users find experts, policies, and documents across the whole organization. -
Unified experience
One search box for many content sources, not just Microsoft 365.
Important caveat
If by “enterprise search” you mean a third-party product or Microsoft Viva Topics / Microsoft Search / Graph connectors, the answer depends on your goals:
- Microsoft Search + Graph connectors can extend SharePoint/Teams search to other systems without a full third-party search platform.
- A full enterprise search platform is usually only needed for more complex environments.
Rule of thumb
- Mostly SharePoint + Teams? Built-in Microsoft 365 search is probably enough.
- Many systems, advanced governance, or tailored search experiences? Look at enterprise search.
If you want, I can help you decide based on your exact setup and whether you mean Microsoft Search, Graph connectors, or a third-party enterprise search tool.
