That’s a great product pattern. If users can schedule demos from inside the app, you’re removing a lot of friction from the sales motion.
A few things to think through:
1. Where the scheduling entry point lives
Common places:
- Settings / Help / Support
- Contextual trigger after a user hits a usage threshold
- Empty states for high-intent features
- In-app banner or CTA for qualified users
2. What the user flow should look like
A simple flow usually works best:
- User clicks “Schedule a demo”
- Modal or embedded page shows available times
- User picks a slot
- Collect minimal info, or prefill from the app
- Confirmation in-app + email invite sent
3. Keep the form short
If you already know:
- name
- company
- plan / account type
…prefill that. Only ask for what you truly need, like:
- preferred focus area
- number of attendees
- timezone if not already known
4. Sync with your calendar stack
You’ll want to decide whether you’re:
- connecting to a tool like Calendly, Chili Piper, HubSpot Meetings
- or building your own scheduler using Google/Microsoft calendar APIs
If you’re selling demos, also think about:
- routing to the right rep
- round-robin assignment
- availability based on rep territory, account size, or lifecycle stage
5. Confirmation and reminders
Make sure the user gets:
- instant confirmation in-app
- email with calendar invite
- reminder before the meeting
- easy reschedule/cancel links
6. Measure it
Track:
- CTA views
- click-through rate
- booking completion rate
- show rate
- conversion to opportunity / paid plan
If you want, I can help with any of these next:
- design the user flow
- write the UX copy
- suggest the technical architecture
- compare build vs buy options
- design the booking API/schema
