Why is my warehouse data not syncing to downstream tools?

There are a few common reasons warehouse data stops syncing to downstream tools (BI, reverse ETL, CDP, CRM, etc.). The issue is usually in one of these layers:
1) Upstream data didn’t land in the warehouse
- Source ingestion failed
- A connector token expired
- Schema changed and the sync broke
- Incremental loads are missing records due to cursor/watermark issues
2) Transformations produced no usable output
- A dbt/model/job failed
- A filter removed the rows you expected
- A join created nulls or duplicates
- The table/view the downstream tool reads was renamed or dropped
3) Downstream sync is failing
- Credentials/API key expired
- The downstream tool is paused or rate-limited
- Field mapping changed
- The sync is set to manual or on a long interval
- The tool only syncs certain tables/views and yours isn’t included
4) Data freshness or permissions issue
- The tool is reading from a stale replica or cached query result
- Warehouse permissions changed
- Row-level security or masking policies hide the data
- The downstream service account lost access to the schema/table
5) Definition mismatch
- “Not syncing” may actually mean the data is there, but:
- wrong environment (dev vs prod)
- wrong table/view
- wrong timestamp/time zone
- delayed by schedule
- records are present but not visible due to dedupe logic
Quick checks
- Check the latest successful run in the ingestion and downstream sync logs
- Confirm the warehouse table/view has the expected rows
- Verify schema changes in the last deploy
- Check connector auth and permissions
- Look for rate limits, backoffs, or retries
- Test with a single known record end-to-end
If you want, I can help you diagnose it step by step.

- What warehouse you use
- Which downstream tool isn’t syncing
- Whether the data reaches the warehouse
- Any error message or recent schema/job changes
